About this policy
ChaosWorks operates www.chaosworks.co. This policy explains how we handle personal information when you browse our website, contact us, subscribe to updates or book a call. It covers our own website and business enquiries. Personal data we handle on behalf of clients is governed by our agreements with those clients.
Information we collect
You may give us your name, email address, company details, phone number and information about your business or enquiry. If you book a call, we receive the details you provide during booking and any related correspondence. Please only share information that is needed for your enquiry. Our website and its providers may also process technical information such as your IP address, browser, device, pages visited and referral source.
How we use your information
We use personal information to respond to enquiries, arrange calls, prepare proposals, provide agreed services and manage our business relationship with you. We also use relevant information to operate and protect the website, understand how it is used, keep business records and meet legal obligations. If you subscribe to updates, we use your contact details to send them. You can unsubscribe or ask us to stop marketing at any time.
Our legal grounds
Where UK or European data protection law applies, we rely on the grounds relevant to each activity: taking steps at your request before a contract or performing a contract; our legitimate interests in answering enquiries, running and securing our business and improving our website; meeting legal obligations; or your consent where required. When we rely on consent, you can withdraw it at any time without affecting processing that took place before withdrawal.
Website services and cookies
Our website is hosted on Framer and uses Framer website analytics. Call bookings are handled through Cal.com. These providers process information needed to deliver their services. Embedded or linked services may use cookies or similar technologies and have their own privacy notices. You can manage cookies through your browser and any consent controls provided by the relevant service. Blocking cookies may affect some features. Where consent is legally required for optional cookies or tracking, that consent is required separately from your use of this website.
Who receives your information
Information may be shared with service providers that help us host the website, manage bookings, communicate with you, store business records or deliver agreed services. We share information relevant to the task. We may also disclose information to professional advisers or public authorities when required by law, or where necessary to establish, exercise or defend legal claims.
International processing
Some service providers may process information outside your country. Where applicable data protection law restricts those transfers, the required safeguards must be in place, such as an adequacy decision or approved contractual protections. Contact us if you would like information about the safeguards relevant to your data.
How long we keep information
We retain personal information for as long as it is needed for the purpose for which it was collected. Retention depends on the nature of the enquiry, whether we enter a business relationship, record-keeping requirements and any need to resolve disputes. Information that is no longer needed should be deleted or anonymised.
Your rights
Depending on where you live and the law that applies, you may have rights to access your personal information, correct it, request deletion, restrict or object to processing, and receive a portable copy. These rights are subject to legal conditions and exceptions. You can also withdraw consent and object to direct marketing. To make a request, contact ChaosWorks through the contact section of our website or reply to an existing email conversation with us. We may need to verify your identity before responding.
Questions and complaints
Please contact us if you have a question or concern about how your information is handled. You may also complain to the data protection authority where you live or work. In the UK, this is the Information Commissioner’s Office at ico.org.uk/make-a-complaint.
Other websites and updates
Links to other websites are provided for convenience. Their privacy policies apply when you use those services. We may update this policy as the website or our practices change. The date at the top shows when this version was last updated.
ChaosWorks App and Meta integrations
ChaosWorks App is operated by ChaosWorks. This section extends the policy above to cover our app and its integrations with Meta products, including Facebook, Instagram, Threads, WhatsApp and Messenger. For privacy questions, contact hello@chaosworks.co.
The information processed depends on the features enabled, permissions granted and assets you authorise us to access. Only the categories relevant to the features you use and the access you authorise apply to you.
Advertising, performance and leads
When enabled and authorised, we use the Marketing API, Meta Ads Manager and ads MCP Server to create and manage ads, including app ads, and measure advertising performance. This can involve business and ad account identifiers, campaigns, ad sets, ad creative, budgets, delivery settings and performance metrics such as spend, impressions, clicks and conversions. We process this information to carry out requested advertising actions, monitor results and prepare reports.
For lead management features, we may receive the information people submit through Meta lead forms, such as names, email addresses, phone numbers and answers to form questions. We use it to organise leads and help the relevant business respond to enquiries and follow up on the request for which the information was provided.
Pages, Threads, messaging and catalogues
For Page management and Threads API features, we may process authorised account or Page identifiers, profile details, posts, media, comments, replies and engagement metrics. We use these to manage content, interactions and reporting for the connected account.
For WhatsApp and Messenger features, we may process contact identifiers, phone numbers where provided, message content, attachments, timestamps and delivery or read status. We use this information to send and receive authorised business messages, answer enquiries and manage customer conversations.
For Catalog API features, we may process catalogue and product identifiers, descriptions, images, pricing and availability to maintain product listings and support advertising.
Audience Network and account connections
If Meta Audience Network is enabled in an app, Meta and the integrated advertising services may process device or advertising identifiers, IP addresses, app usage and ad interaction information to deliver and measure ads and help prevent fraud. This processing is subject to applicable consent requirements and device privacy settings. Meta also handles information under its own privacy policy.
Connecting Meta accounts may involve account identifiers, profile or contact details supplied through the connection, permission records and access tokens. We use these to maintain authorised connections and provide the selected features. Do not send us your Meta password or access tokens in support or deletion requests.
Use and sharing of Meta data
We use Meta Platform Data for the authorised app functions described here. When acting for a business client, we process its data on that client’s behalf and instructions. We do not sell Meta Platform Data or use one client’s data for another client’s purposes.
Data may be exchanged with Meta to carry out requested actions and shared with the relevant client and service providers that support the app, such as hosting, storage and technical support providers, where necessary and permitted by Meta’s terms. Providers may process the data only to provide the requested services. Any further disclosure must be permitted by applicable law and Meta’s terms. The international processing section above also applies.
Retention and removing access
We retain Meta Platform Data only while it is needed for the authorised service and a purpose permitted by Meta’s terms. We delete it as soon as reasonably possible when it is no longer needed, the relevant account or client relationship ends, the app stops operating, or deletion is requested by you, the relevant client or Meta, unless applicable law requires retention. Any legally required retained information is limited to that requirement.
You can revoke the app’s permissions through the relevant Meta account or business settings. Removing access prevents further access under those permissions; to request deletion of information already held by ChaosWorks, use the instructions below. Removing our app does not delete your Meta account or automatically remove ads, messages or content held by Meta.
Request deletion of your app data
All ChaosWorks App users, and people whose information we process through the app, can request deletion by emailing hello@chaosworks.co with the subject “ChaosWorks App – data deletion request”.
Include the email address associated with your relationship with us and, where relevant, the business name or connected Page, ad account, Threads account or WhatsApp number so we can locate the records. Provide only the identifiers needed for your request. You do not need to book a call or keep an active app account to request deletion.
We may ask for limited information to verify your identity or authority to act for a business. We will review the request promptly, delete the associated app data and instruct relevant service providers to do the same, unless retention is legally required. We will confirm the outcome by email and explain any information that must be retained and why. You may also use hello@chaosworks.co to request access or correction, raise a privacy concern, or report a security issue.
